# About P.O box and Zip Code

## Question

We have a US customer whose shipping address is a P.O Box, and the zip code looks incorrect. Questions: 1. Can be sent to P.O Box? 2. What are the consequences of a wrong zip code? 3. How to handle it to avoid risks?

### Answer 1 — Best Answer

From a compliance perspective，P.O Box addresses are high-risk items in international trade. Customs of most countries，including US CBP，require providing an actual physical address for import declaration. P.O Boxes usually cannot meet this requirement，which may lead to clearance delays or even return. Incorrect zip codes directly affect the customs risk assessment system，wrong zip codes will lead to goods being assigned to the wrong clearance port，triggering additional inspections. Suggestions: First，immediately request the Physical Address from the customer，second，verify the accuracy of the zip code through the USPS official website，third，be sure to fill in the accurate zip code on the customs declaration form，which relates to the applicable tariff rate and anti-terrorism review (such as ISF declaration). If the customer insists on using a P.O Box，confirm acceptance with the carrier in advance and prepare for possible customs inquiry documents.

### Answer 2

At the operational level, international express services like DHL, FedEx, UPS basically do not support P.O Box delivery because a real name signature is required. Incorrect zip codes will cause goods to be routed to the wrong area at the sorting center, delaying at least 3-5 working days. You should now: 1) Immediately contact the customer to get a Street Address, which is the fastest solution; 2) If the customer is an individual buyer, suggest using a residential address; 3) For zip codes, use Google Maps or USPS official website to verify, US zip codes must be 5 digits or ZIP+4 format. If the customer cannot provide a physical address, consider transshipping through a third-party logistics provider with a physical warehouse in the US, but this will add 3-7 days of timeliness and about 15-20% cost. Remember, address issues must be resolved before shipment, otherwise once the goods are sent, the address change fee starts at least $200.

### Answer 3

From a business communication perspective, you need to professionally guide the customer to provide correct information, rather than simply refusing. It is recommended to communicate like this: "To ensure your goods clear customs smoothly and are delivered on time, customs requires an actual delivery address. Could you please provide a street address? This can also avoid delivery failures." At the same time, you can proactively say: "I'll help you check the correct zip code to ensure the address is accurate." This appears professional and helps the customer solve problems. At the contract level, it is recommended to add a clause in the payment terms: "The seller has the right to suspend shipment without assuming liability for delay until accurate and complete delivery information is received". If the customer is a long-term partner, proactively helping him avoid clearance risks this time can build deeper trust. Never say "your address won't work" directly, transform it into "I am helping you avoid risks".
